Job Title: Executive PA / Office Manager

Location: London, Victoria

The application and role summary:

Based in the London office, the Office Manager / Executive Assistant will work alongside the two Managing Directors and the rest of the team in a busy, fast paced environment of an expanding firm. This role is diverse and will transcend a number of areas including Office Management, Team Assistance, light Accounting/Invoicing, Executive / Personal Assistant elements.

Responsibilities:

1. General support of the Managing Directors: diary management, preparing meeting rooms, welcoming clients, answering and directing calls, travel management, general administration and correspondence

2. Handling all organizational office matters to ensure smooth operation of the office environment to support the team

3. Liaising with service providers (IT, facilities, telephone, insurance providers etc.)

4. Some filing, scanning and document management via Intern staff

5. Organising client meetings and conference calls

6. Co-ordinating events, managing mail and email info campaigns

7. Office administration incl. overseeing the office supplies ordering

8. Together with Accounting department, creating, updating and raising invoices

9. Other relevant tasks as and when directed to ensure the smooth running of the office

Requirements:

1. Experience of working as EPA/PA in a Financial Services, Professional Services or Commercial environment with a understanding of professional services

2. Strong work ethics to support a dynamic and thriving team within a fast growing company

3. Excellent user of Microsoft Office products (Word, Excel, Powerpoint)

4. Experience in managing a small office (30 staff) incl. all supplies

5. Desire to work in an entrepreneurial environment with interesting clients

6. Experience of working to tight deadlines and the ability to cope under pressure

7. Strong organisational skills

8. Excellent communication skills verbally and written; English as mother-tongue or similar leve

9. Desire to work in an dynamic, fast-growing company environment with bluechip clients

Qualifications and Experience:

1. Completion of A Levels and Bachelors Degree preferred

2. Strong communication skills, written and verbal
